This Privacy Policy explains how TitanLink (“TitanLink,” “we,” “us,” or “our”) collects, uses, shares, retains, and protects information when you use our fulfillment management platform, including our website, dashboard application, desktop application, and related services (collectively, the “Service”). It also explains the choices and rights available to you. By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Account and Organization Information

When you create an account or are invited to join an organization on TitanLink, we collect your name, email address, profile image, and authentication details (such as a hashed password, or identifiers from Google or GitHub if you sign in with those providers). We also collect organization-level information such as your company name, plan, default currency, timezone, and operational preferences you configure (for example, picking strategy or notification preferences).

1.2 Integration and Third-Party Connection Data

TitanLink allows you to connect third-party platforms to synchronize business data, including Shopify, Amazon Selling Partner API, QuickBooks Online (via Intuit’s API), and EasyPost. When you connect an integration, we receive and store authorization credentials (such as OAuth access and refresh tokens) and the business data you authorize us to access from that platform, such as orders, products, inventory levels, customers, and accounting records. Sensitive credentials are encrypted at rest (see Data Security below) and are used solely to operate the integration you enabled.

1.3 Order, Customer, and Fulfillment Data

To provide fulfillment, inventory, and order-routing services, we process data about your end customers that is necessary to fulfill and ship orders, such as names, email addresses, phone numbers, and shipping or billing addresses. This information is provided by you or synced from a connected sales channel or accounting platform, and is processed on your behalf as the organization’s data controller.

1.4 Files You Upload

The Service allows you to upload files such as product images, labels, and supporting documents. These files are stored with our file-storage subprocessor and associated with your organization.

1.5 Usage and Device Information

We automatically collect certain technical information when you use the Service, including IP address, browser and device type, session identifiers, and general usage activity. This is used for authentication, security, and to maintain and improve the Service. See Cookies and Analytics below for more detail.

1.6 Communications

If you contact us for support, submit a contact form, or receive transactional emails from us (such as organization invitations, password resets, or notification alerts), we collect the information included in those communications.

2. QuickBooks and Intuit Data

TitanLink integrates with QuickBooks Online through Intuit’s developer platform to help you synchronize accounting and financial data with your fulfillment operations. If you choose to connect QuickBooks Online, we access only the data necessary to provide this integration, which may include:

  • Customer and vendor records
  • Items, products, and services
  • Invoices, sales receipts, and payments
  • Bills and expenses
  • Chart of accounts information

This data is used exclusively to provide the QuickBooks integration features you enable (for example, syncing orders, invoices, or inventory costs). We do not sell this data, use it for advertising, or share it with third parties except as described in How We Share Informationbelow or as required to operate the integration. Access is authorized by you through Intuit’s OAuth 2.0 flow, and you may revoke TitanLink’s access to your QuickBooks Online company at any time from your TitanLink integration settings or directly within your Intuit account. Once disconnected, we stop syncing new data and delete the associated authorization tokens.

3. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the Service, including inventory, order routing, warehouse, shipping, and accounting-sync features
  • Authenticate users and secure access to your organization’s account
  • Synchronize data between TitanLink and the integrations you connect (Shopify, Amazon, QuickBooks Online, EasyPost, and similar services)
  • Process and route orders, generate shipping labels, and manage inventory on your behalf
  • Send transactional communications, such as invitations, alerts, and support responses
  • Monitor, troubleshoot, and improve the security, reliability, and performance of the Service
  • Comply with legal obligations

4. How We Share Information

We do not sell, rent, or trade your personal information. We share information only in the following circumstances:

  • Service providers (subprocessors): we use trusted providers to operate the Service, including database and application hosting, queue and cache infrastructure, transactional email delivery, file storage, and shipping label generation. These providers may only use your data to perform services on our behalf.
  • Connected platforms: when you enable an integration (such as Shopify, Amazon, QuickBooks Online, or EasyPost), data flows to and from that platform as necessary to provide the integration you configured.
  • Members of your organization: data you enter is visible to other authorized users within your organization, according to their assigned role and permissions.
  • Legal and safety reasons: if required to comply with applicable law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of TitanLink, our users, or others.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

5. Data Security

We implement technical and organizational measures designed to protect your information, including:

  • Encryption of sensitive credentials and integration tokens at rest using AES-256-GCM
  • Encryption of data in transit using HTTPS/TLS
  • Role-based access controls restricting data access to authorized users within your organization
  • Secure secret management for API keys and OAuth credentials

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.

6. Data Retention and Deletion

We retain your information for as long as your account or organization remains active, or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you disconnect an integration (such as QuickBooks Online, Shopify, or Amazon), we stop syncing new data from that platform and delete the associated authorization tokens. When you close your account or an organization requests deletion, we delete or anonymize personal data within a reasonable period, except where retention is required by law.

For sales channel integrations, we also honor platform-mandated data compliance requests, such as customer data access and redaction requests, as required by our sales channel partners.

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your personal information
  • Request a portable copy of your data or an explanation of how your data is used
  • Object to, or request that we restrict, certain processing
  • Withdraw consent, where processing is based on consent

8. Cookies and Analytics

We use strictly necessary cookies and similar technologies to authenticate users and maintain secure sessions. We also use privacy-focused, aggregated web analytics to understand overall usage of our marketing pages and improve the Service. We do not use third-party advertising or cross-site tracking cookies.

9. Children’s Privacy

TitanLink is a business-to-business service intended for use by working professionals and is not directed to individuals under 18. We do not knowingly collect personal information from children.

10. International Data Transfers

Your information may be processed and stored in countries other than your own through our hosting and infrastructure providers. Where required, we rely on appropriate safeguards to protect information transferred internationally.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice.
